Microsoft Excel 2007 Text Alignment Options

To set the vertical alignment, either make a selection or click on the row number to select the entire row then click on one of the buttons to make the change: align middle, align top and so forth.

The alignment option also includes the ability to change the orientation of text within the cell. This is particularly useful in those situations where the headings are wider than the data within the cells. To change the vertical orientation of your text, you simply select the cells in question and then choose the appropriate orientation in the Alignment dialogue.

If you rotate your column headings by 90 degrees, you can usually make the columns much narrower. Excel has a very useful way of doing this: simply select all the columns that contain data then in the Cell group of the Home Tab of the Excel Ribbon, choose Format then AutoFit Columns. This command makes each of the highlighted columns no wider than it needs to be in order to display all the data it contains.

Most Excel users have encountered the SUM function. It is one of the most widely used functions within the program. And most Excel users will also have used the IF function at some stage. The SUMIF function is really just a combination of SUM and If which allows us to calculate the total of all cells within a given range that match a certain condition.

For example, let's say that we have a "Sales" worksheet containing a breakdown of the sales of each individual salesperson. We then want to create a summary of these figures in a "Branches" worksheet where we want to create a total sales figure for each branch; so our "Branches" worksheet would have two columns: "Branch" and "Total Sales". We can use the SUMIF function to work out the figures in the "Total Sales" column.

A good place to begin would be to create named cells so that we can refer to these names in our formula. To name a range of cells we begin by selecting the range then we click on the name box in the top left of the worksheet, enter the name then press the Enter key.

Once we have inserted the names of all the branches in the first column of our "Branches" worksheet, we would highlight the first cell in the "Total Sales" column, adjacent to the cell containing the name of our first branch; let's say our first branch is "Birmingham". When using functions for the first time, it's always useful to use Excel's Insert Function facility. To access this, click the Insert Function button on left of the formula bar. The SUMIF function is to be found in the "Math and Trig" category. Scroll down the list, highlight SUMIF and then click OK. Excel will then prompt us for the three arguments required by the SUMIF function.

The first argument is the range of cells to be evaluated. In our branch sales example, this would be the column containing the name of the branch. If we have named this column, we can insert the name by clicking on "Use In Formula" in the Formulas Tab at the Excel Ribbon. This is a drop-down menu containing every name in the workbook.

The second argument is the criteria we want to match. In our example, is simply the contents of the cell in the adjacent "Branch" column, which in this case contains "Birmingham". We can click in the cell to pick up the reference.

The final argument is the SUM range and, in this case, it will be the column containing the cells that we want to actually total; namely, the sales figures. Again, if we have named this column, we can click on "Use In Formula" and choose the name that we created earlier. Having specified these three arguments we click OK and Excel creates the formula.

It's now safe for us to copy the formula down. As we copy the formula, the cell reference of the adjacent column containing the branch name will change but the two named ranges will remain the same. To copy the formula down, position the cursor on the AutoFill handle in the bottom right of the cell and then either drag or simply double-click.

The Most Common Mistakes Made By Microsoft Word Users

Ask just about any computer user if they use or have used Microsoft Word and you can confidently expect the answer "yes". Word is everywhere, even on Apple Mac. So, most bosses automatically assume that their people know how to use it and they do, up to a point. But many casual Word users make some pretty basic mistakes. This article looks at the most common.

* Are you ever guilty of pressing the Return key at the top of a document to move the cursor down, perhaps when creating a document to be printed on your company stationery? If so, this means that you are creating a document with unwanted characters at the start. Much better to click on File - Page Setup and change the top margin (in Word 2003) or click on Custom Margins in the Page Layout tab of the Word 2007 ribbon.

* A lot of Word users have the habit of entering two spaces after a full-stop. This is a recommendation that used to apply when typewriters were being used with monospace typefaces such as Courier. With the advent of word processors, and now computers, the two space rule is redundant because electronically generated fonts are proportionally spaced and it's easy for the eye to pick out the end of each sentence.

* The habit of pressing the Return key twice at the end of each paragraph is not a good idea because it creates a sea of extra white space on the printed page. Only one return should used to end the paragraph. Extra space can then be added using the paragraph spacing commands. To find these options, in Word 2003 or earlier, choose Paragraph from the format menu. In Word 2007, click on the Page Layout tab.

* If a casual user of Word has never had any training, you will often see him or her using the space bar to align columns of text. This sometimes looks as though it's working on screen but when the document is printed, the lack of alignment becomes very apparent. The only sure way of getting columns to align is to press the Tab key.

* Having identified the Tab key as the correct one to use to create columns, many Word users just press the tab key to tab along to the next default tab. The number of times the Tab key is pressed will thus vary, depending on the length of each piece of text. It is much better to set one's own tabs by clicking on the Word ruler. This means that on each line of text, the tab key will be pressed the same number of times between columns.

* A lot of newbie Word users will always format their documents, even long ones, either manually or by using the Format Painter. The best way to format text in long documents is to use Microsoft styles. Each style has multiple attributes associated with it which are applied automatically to any text formatted with that style. In addition, if the attributes of a style are changed, all text in that style is updated throughout the document.

* Word AutoCorrect and other text optimisation features can sometimes seem a bit too much to some users but many people do nothing to adjust the way these features work. In Word 2007, the AutoCorrect and other settings can be changed at any time by clicking on the Office Button and choosing Word Options. The equivalent in Word 2003 and earlier is Tools - Options.
